Abstract

Hospitals are required to implement a Hospital Management Information System (HMIS). Mitra Medika Bondowoso Hospital has operated an HMIS called Xydia since August 2023. However, discrepancies were identified in the Bed Occupancy Rate (BOR) data between manual and HMIS reports from January to March 2025. Manual reports recorded BOR values of 83%, 78%, and 81%, whereas the HMIS reported 85%, 81%, and 78% for the same period. This study aimed to evaluate the HMIS reporting module using the Task–Technology Fit (TTF) method, which includes task characteristics, technology characteristics, and task– technology fit. The study was conducted from May to December 2025 and involved five informants. The results showed that reporting tasks still required manual processes and depended on data from other units. Technological issues included limited features, data synchronization problems, and non-functioning menus. In terms of task–technology fit, report accuracy remained suboptimal, and key indicators such as BOR, Length of Stay (LOS), and Turnover Interval (TOI) were unavailable. Recommended improvements include coordination between the IT team and the medical records unit, enhancement of reporting features, crossunit evaluation, improvement of data accuracy, and system menu optimization. In conclusion, the task characteristics, technology characteristics, and task– technology fit aspects were not fully satisfactory. Stronger coordination between medical records officers and the IT team is necessary to ensure the reporting module meets user needs.
