Abstract

One of the steps to support the implementation of electronic medical records is the development of a medical record media transfer system. The process of transferring medical records is divided into two categories, namely active and inactive, based on the patient’s most recent visit. Based on a preliminary study conducted in January 2024, electronic medical records have been implemented; however, there has been no preparation regarding the transfer of manual medical records into digital form. Medical records stored on shelves cannot be kept permanently. Therefore, retention is needed to sort medical records, as well as destruction for those that have reached inactive status. The main obstacles found in the retention process were the absence of a routine retention schedule and the lack of documentation during the process, which caused disorganized filing of the sorted records. Hence, this study aims to design and implement an information system for media transfer and medical record destruction using the Scrum method at Kaliwates Community Health Center, Jember (Puskesmas Kaliwates Jember). The data collection techniques used include observation, interviews, and documentation. The results of this research is an information system for media transfer and medical record destruction that features automatic classification of active and inactive medical records, generation of destruction reports, and automatic delivery of retention and destruction reports via email. These features facilitate staff in carrying out manual medical record retention activities in the filing room.
